Overview
Kaiko DMS ("we," "our," or "the app") is committed to protecting your privacy. This Privacy Policy explains what data we collect, how we use it, and your rights regarding your information.
TL;DR: We don't collect, track, or share your personal data. Everything stays in YOUR private iCloud account. We don't have access to your documents or information.
Data Collection and Storage
What We Store (In Your iCloud)
- Documents: All files you import are stored in your private iCloud Documents folder
- Metadata: Document titles, dates, notes, tags, contacts, and folder structures
- Settings: Your preferences, custom types, tags, and organization rules
- Scanner Data: Temporary scan files (automatically deleted after import)
What We Do NOT Collect
- ❌ We do not collect any analytics or usage data
- ❌ We do not track your activity or behavior
- ❌ We do not have access to your documents
- ❌ We do not share your data with third parties
- ❌ We do not use advertising or tracking technologies
- ❌ We do not store data on our servers (we don't have any)
How We Use Your Data
- All data is stored exclusively in YOUR private iCloud account
- Data is used solely to provide document management functionality
- Apple's iCloud CloudKit syncs your data across your devices
- You have full control and ownership of all your data
- We never see, access, or transmit your data to any servers
Third-Party Services
Apple iCloud
Kaiko DMS uses Apple's iCloud service for data storage and synchronization. Your data is subject to Apple's Privacy Policy. iCloud data is encrypted and stored securely in your private iCloud account.
Scanner Hardware
When using scanner integration, scanner drivers access hardware locally on your device. No scan data is transmitted to third parties. All scanned files are stored directly in your iCloud Documents folder.
Your Rights and Control
Access
All your data is accessible within the app and in your iCloud Drive under "Kaiko DMS Documents".
Export
You can export all documents at any time. Your files are stored as standard formats in iCloud and can be accessed from any device.
Deletion
To delete all data:
- Delete the app from your device(s)
- Go to iCloud Drive and delete the "Kaiko DMS Documents" folder
- This permanently removes all Kaiko DMS data from your iCloud
Portability
Your documents are stored as standard files in iCloud Documents. You can access them from any device signed into your iCloud account, even without the app.
Data Retention
- Data persists in your iCloud as long as you choose to keep it
- Trash items are automatically deleted after 30 days (configurable in Settings)
- Deleting the app does NOT delete your iCloud data - you must delete it manually if desired
- You can change iCloud sync settings in the app's Settings
Security
- App Sandbox: The app runs in Apple's secure sandbox environment
- Encryption: iCloud data uses end-to-end encryption via CloudKit
- File Access: Limited to user-selected files and app-designated folders only
- No Server Storage: No data is stored on external servers
- Local Processing: All OCR and document processing happens on-device
Permissions
Kaiko DMS requests the following permissions:
- Camera: To scan documents (optional)
- Photo Library: To import images as documents (optional)
- Files: To access and organize your documents
- Printer: To print document and folder labels (optional)
- iCloud: To sync your data across devices (optional but recommended)
All permissions are requested only when needed and can be revoked in System Settings.
Children's Privacy
Kaiko DMS is not directed at children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.
International Users
Kaiko DMS can be used worldwide. Your data is stored in iCloud data centers according to your iCloud account settings. Apple determines data center locations based on your country/region.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of the app after changes constitutes acceptance of the updated policy.
GDPR Compliance (European Users)
If you are in the European Economic Area (EEA), you have additional rights under GDPR:
- Right to Access: You can access all your data within the app
- Right to Rectification: You can edit any data directly in the app
- Right to Erasure: You can delete data or the entire app
- Right to Data Portability: Your files are exportable in standard formats
- Right to Object: You can disable iCloud sync in Settings
California Privacy Rights (CCPA)
California residents have the right to:
- Know what personal information is collected (see "Data Collection" above)
- Know whether personal information is sold or disclosed (we do not)
- Access personal information (available in the app)
- Delete personal information (delete the app and iCloud data)
